Advanced Scheduling - Maintaining & Adding a Workload Template  

Overview

This guide will walk you through the process of managing and creating Workload Templates within the Green Leaf Elevated System. Whether you’re looking to edit existing templates or create a new one from scratch, we’ll cover all the essential steps to ensure a smooth setup. Follow the instructions below to customize your templates and streamline your scheduling process.

Note: This guide may not cover every possible scenario, and some features may not be visible depending on your company’s specific configuration. For questions regarding Workload Templates or specific features, please contact your assigned specialist.

 

 

Directions

A Workload Template defines your minimum coverage requirements, specifying the number of staff, shift timing, and location of coverage needed. This serves as your baseline schedule. If additional shifts are needed beyond the template, they can be added directly through the Schedules page.

You can also make adjustments to the template during schedule creation by selecting and managing the relevant shift. These changes will apply only to the shifts imported for that specific week and will not modify the original Workload Template created on the Workload Templates page.

  1. Navigate to: Main Menu (☰) > Settings tab > Scheduler Setup > Workload Templates

  2. Make Your Selection

To create a new template, select Add New in the top right corner. To edit an existing template, select the pencil icon next to the template you wish to modify. To clone an existing template, select the double paper icon .

  1. Name Your Template

It's recommended to create one template for each scheduling location, with an additional template for peak seasons or weekends as needed. This approach ensures flexibility and accuracy in managing scheduling demands. Be sure to name each template after the specific location it corresponds to. A clear and consistent naming convention will help maintain organization and support long-term success.

If you're responsible for scheduling a large team, consider organizing your templates by skill. For example, you could create one template for Sales Associates and another for Management. This additional layer of organization makes it easier to manage different team needs efficiently.

  1. Select Add Rows

Clicking Add Rows allows you to define your required shifts for specific days.

  • Example: Selecting Monday and Monday will assign shifts only on Mondays.

  • Selecting Monday through Friday will cover shifts for the entire workweek (Monday - Friday).

If the store schedule cycle runs from Monday - Sunday, and we need two Sales Associates working every day of the week from 7:00 AM - 3:30 PM in our Nor Cal Scheduled Cost Center, we would enter the information shown below. This one row will import 14 shifts into our schedules - two for every day of the week.

  1. Build Out Your Template

Continue adding rows until your baseline schedule is fully defined. You can add shifts as needed through the Schedules page, and edit, delete, or copy them without altering the original template. If you want changes to carry over week-to-week, make adjustments on the Workload Templates page, or create a second template to stack on top of your baseline. Helpful Tip: Build your templates by skill type (open, mid, closing, one-offs) for easier adjustments when needed. Refer to the example below for more guidance.
