Purpose
This article outlines the function and utilization of the Benefit Exception Extra Field during employee onboarding. If an employee is not subject to the standard Benefit Start Date Waiting Period rules and is instead eligible immediately upon their Hire Date (Owners, Directors, Officers, etc.), you can use the Benefit Exception field to bypass all waiting period rules.
Please be aware that this guide is not all encompassing and that benefit settings are customized per client. If you have any questions regarding a specific setting or process within your system or its purpose, please reach out to your designated specialist or to the
hrtechsupport@greenleafbizsolutions.com email for assistance.
Benefit Exception During Onboarding
Within the Hire Employee screen you are completing, you will eventually come to the Benefit Exception Field (typically just before or just after the Benefit Profile section). If marked with a red asterisk (*), then the field is required and you will need to select either "Yes" or "No" from the drop down menu.
Please Note: If not marked as required, then a blank value will be treated the same as selecting "No".
By default, we set the Waiting Period rules so that if the Benefit Exception is set to "Yes", then the employee will have No Waiting Period and any elections entered during their New Employee Enrollment would be effective starting on their Hire date. We then set any remaining Waiting Period rules so that they are applied to employees who are not considered a Benefit Exception.
Benefit Exception for Existing Employees
If you need to update an employee's Benefit Exception after their Onboarding has been completed, you can locate the field on the HR Tab on their employee profile. If you look on the menu to the right side of the page you should see a section you can click on which will take you directly to Extra Fields, where the Benefit Exception field can be found.
Once complete, be sure to click the Save button in the upper right hand corner and you'll now be able to update the employee's benefit effective dates to their appropriate time frame.
