This option allows you to track personal and company assets that can be tied to employees. Under Settings > HR Setup >Assets (Property), you have the option to create asset types. These must be created
first, before using any of the other menu options. After Asset Types are created, you can then choose to catalog your property using the assets (Property) or the Vehicle menu options.
Asset Types
By default, the system includes a list of assets that can be added to or removed. These are just the labels for the types of actual assets that can then be tied to an employee (such as a laptop, cell phone, etc.) You can select from and create custom fields to track each asset.
Step 1: Create a New Asset
To create a new Asset Type, select the Add New button. The Asset Type page appears. Enter a Type and Description, and then finish creating your new asset.
The following fields are available:
Allow Multi Assets: Allows you to assign the same asset multiple times. Example: 15 desk chairs.
Allow Child Assets: Allows you to create sub-assets that are linked to the main asset. Example: Computer would be the main asset, and Software installed on that computer would be a child asset.
Fields: Collect / Required: Per each Asset Type, you can define the different attributes of that asset as either collected or required information.
Custom #1 - #5: If the fields above are not sufficient, you have up to 5 custom fields that can be enabled.
Step 2: Automate Learning
In the Asset Type configuration page, the Automate Learning widget can be used to tie an asset type to a course. Once added in the widget, the course will automatically be assigned when the asset with that type is assigned.
For example, if you define an Asset Type of Software and you have a software course defined such as Windows Training, you can add the course here, tying it to the Software asset type.
After selecting the Add Courses button, a list of available courses will display that are pulled from the Courses/Certifications areas (at Settings > HR Setup > Courses/Certifications). Select one or more courses from this page. Once added to the widget, the employees assigned to the course, as defined within the course configuration will automatically be assigned the training course and asset type.
Step 3: Assets (Property)
After the Asset Types are created, you can then create as many entries as needed to account for your property. You can also edit existing assets from this page.
To create Asset (Property), click the Add New button and select the pre-defined Asset Type from the list, and click Add. If you need to quickly create a new Asset Type, click the label, which is a link.
Depending on the Asset Type selected, the subsequent configuration page will vary.
On the Asset page, you can add a child asset and assign the asset to one or more employees.
After the asset is assigned to an employee, you will be able to view the assignment under Team > HR > HR Maintenance > Assets Assignments. By clicking the Edit icon, you can view the assignment detail as well as mark it as a returned asset or a lost or destroyed asset.
Step 4: Vehicles
Similar to Assets (Property), you can track both company and personal vehicles assigned to employees. After you create a vehicle, you can assign it to an employee. From the Company Vehicles page, you can edit, delete, create, and view both vehicle details and employees assigned to the vehicle.
To view or edit the details of an existing vehicle, click the Edit icon to edit or view the information of the vehicle.
To add a vehicle, click the Add New button.
Complete the following fields:
> Status: Allows you to select the status of the vehicle.
> Description: A brief description of the vehicle.
> Code: Allows you to attach a code to the vehicle.
> Year: The year the vehicle was manufactured.
> VIN: The vehicle identification number.
> Make: The vehicle's make (required).
> Model: The vehicle's model (required).
> Color: The vehicle's color
> License State: That state that the vehicle is licensed in.
> License Plate #: The license plate number of the vehicle.
> Registration Expiration: The date the vehicle's registration expires.
> Inspection Expiration: The date the vehicle's inspection expires.

After the vehicle is saved, you can add information about insurance and maintenance by using the Add Insurance or Add Maintenance buttons.
You can view vehicle assignment under: Team > HR > HR Maintenance > Vehicles. Click the Add New button to assign an employee.
By clicking the Edit icon, you can view details of the vehicle assignment, as well as mark it as a returned asset or a lost or destroyed asset.
