How to Update an Employee's ACA Profile

Purpose

This guide will identify how to update an employee's ACA Profile within the Elevated System. ACA Profiles are used to delineate an employee's Benefit Eligibility throughout the year, and is a crucial component in preparing 1095-C forms for the end of the year. In order for the year-end documentation to be correct, you may have to manually update an employees ACA Profile throughout the year if they switch from Full-Time to Part-Time, and are no longer eligible as an example. Please be aware that this guide is not all encompassing and that benefit settings are customized per client. Updating an Employee's ACA Profile

To begin, please navigate to the employee's profile. For assistance with locating employee profiles, please reference the How to Navigate to an Employee's Profile article.

Within the employee's profile, navigate to the Benefits & ACA tab and locate the ACA Timeline Overview widget, then click Manage Employee ACA Timeline.


On the ACA Timeline page, ACA Profile should be the first item in the menu on the left. In order to add a new line to the ACA Profile, click + Add. Use the Browse Icon on the right of the ACA Profile Box to see which options are available, based on Employee Types within your company.




In the Browse and Select ACA Profile pop-up box, choose the ACA Profile you're trying to assign to the employee (Waiting Period Rules will either be in parenthesis in the profile name, or outlined in the Description).


The Effective Date of the new profile will typically be the exact date of the employee type change (if an employee changes from part-time to full-time on 11/5/2024, you'd use 11/5/2024 as the effective date for the new profile line).

Please Note: There may be different ACA Profiles available in this window. If you are unsure which Profile to apply to the employee, please contact your HR Department to confirm.

Once you have assigned the correct profile, be sure to Save, and then the ACA Profile update is Complete.
