Payroll Register Customization

Purpose

This SOP outlines how to customize the Payroll Register report, including adding and removing columns, grouping data, filtering by date range or specific payroll, saving a custom view, and setting up automatic delivery of the report.

Before You Begin

    • Your available columns and view options depend on your assigned security profile. Company Administrators will have the broadest view; other roles may see a subset.

    • This SOP uses the Company Administrator view as the reference point.

Step 1: Navigate to the Payroll Register

  1. Go to the Process Payroll tab
  2. Select Payroll Register from the menu.


Step 2: Add Columns to the Report

  1. Click the three-dot menu (⋮) located next to the Settings icon
  2. Select Add/Remove Columns.            
                        
      3. Search for and select the column(s) you want to add — for example, Company Federal EIN or Employee Worksite Name.
       4. Click Add to move each selected column into your active columns.
       5. Reorder columns as needed (for example, moving Federal EIN and Worksite above the standard payroll register columns).
      6. Click Apply to save the column changes to the current view.



Step 3: Remove Columns from the Report

  1.  Open the same Add/Remove Columns menu (three-dot menu next to Settings).
  2. Click the checkbox next to the column you want to remove.
  3. Click Remove.
  4. Click Apply to update the report.


Step 4: Group Data by a Column

Grouping is useful when a client has more than one EIN or worksite and you want the report organized accordingly.
  1. Click the drop-down arrow next to the column header you want to group by (for example, Federal EIN).
  2. Select Group.
  3. The report will consolidate and organize all rows under each group value (e.g., all employees under each EIN).

Step 5: Filter by Date Range or Specific Payroll

Filter by Date Range
  1. Click the Filter tab.
  2. Change the filter type from Calendar Range to Date Range.
  3. Select the desired start and end dates.


Filter by Payroll
  1. In the Filter tab, select Specific Payroll (instead of Date Range).
  2. Choose one of the following options:
    1. Currently Being Delivered — shows the payroll currently in process.
    2. Last Finalized — shows the most recently finalized payroll.
    3. Specific Payroll — select any individual finalized payroll from the list.
  3. Click Apply to update the report with the selected filter.

Step 6: Save the Custom View

Once the report is set up with the desired columns, grouping, and filters, save it so it doesn't need to be rebuilt each time.

  1. Click Save View As.
  2.  Enter a descriptive name for the view (e.g., “Biweekly Pay Register”).
  3. Check Set as Default if this should be the view that loads automatically going forward.
  4. Click Save.





Step 7: Set Up Schedule Report

Once a custom view is saved, it can be set to be scheduled automatically each time payroll is processed.
  1. From the saved report, click schedule Report
  2. Select Enable this schedule
  3. Choose what day the report should generate.
  4. Choose what time the report should generate.
  5. Choose the expiration date.
  6. Click Save.
 

Step 8: Confirm the Scheduled Report

Once schedule report is enabled and saved, the scheduled report will generate under All Scheduled Reports in the Report Hub.
