Release Notes (June 2024)

Summary

This document will outline the items that will be released in the next system update. The next system release is scheduled for June 20, 2024. Additionally, we will be having a few Authentication Updates with this release. However, these updates will not occur until June 27, 2024. If you have any questions regarding the notes listed below, please contact your designated Green Leaf representative(s).



General

Global Search Updates

To help you find the pages you are looking for easily, we’ve made the following changes to the Global Search functionality:
  1. Fuzzy or Misspelling Search: This allows you to find pages even if you’ve misspelled them or aren’t clear on the exact name. For example, if you search for “groups,” you will find the Edit Groups page in your list of search results.
  2. Improved User Interface (UI): We’ve made a few changes to the UI for the Global Search input to allow you more space to see your results and queries, and to help indicate why you are receiving the results.
  3. Search Input: This does not get larger when you select it.
  4. Results Highlighting: When you perform a search, the matching word or query is highlighted in your search result.

** Authentication / Authorization - Two Factor Authentication (2FA) Refresh

We have made significant improvements to our Two-Factor Authentication (2FA) functionality to provide you with a smoother, more user-friendly experience. These changes enhance security and make it easier for you to access your account.

Please Note: These updates will not be updated until the date mentioned at the top of this article. They are rolling these changes out in phases to each POD, so we will not have this available until June 27th.

Refreshed Landing Page: A refreshed landing page for Multi-Factor Authentication (MFA) now includes all available options, governed by their assigned Authentication Policy, for users to authenticate . The user can choose from any available method.

Refreshed Identity Verification Page: We've improved the Identity Verification page for Multi-Factor Authentication (MFA). When a user is on the MFA Landing page and selects a method (Text, Voice, or Email) and a phone number or email address, and then clicks the Send Code button, the user lands on the Identity Verification page. 
  1. When a user enters the code and presses the Verify button, the user is authenticated. If successful, the user logs into the application.
  2. If the user needs to request another code, the user presses the Resend Code button. The code is resent to the user and the Enter Verification Code box is cleared. A 60 second timer is triggered, and after 60 seconds (the timer has counted down to zero), the user can request another code if needed.
  3. When a user clicks on Try another method, the user is taken to the MFA Landing page.

All To Do Items: Number of Days Pending

To allow users to quickly see any To Do Items that have been pending for 100 or more days so they can close them (approve, reject, etc.), a Number of days Pending column has been added to My Reports > System Reports > System Utilities > All To Do Items and Reports > Misc Reports > All To Do Items.

All Scheduled Reports

Additional columns have been added to the All Scheduled Reports report to allow users to see additional details for both scheduled reports and email schedule configurations.

New columns available in the All Scheduled Reports report:




Payroll

Added Columns to Earnings and Deductions Reports

Admins can now see which employees have Block Last (3rd or 5th) enabled on their scheduled deductions and scheduled earnings.

The following columns can now be added to the Scheduled Deductions report (Payroll > Employee Payroll Maintenance > Deductions):
  1. Scheduled Deduction: EE Block Last (3rd or 5th)
  2. Scheduled Deduction: ER Block Last (3rd or 5th)

The following column can now be added to the Scheduled Earnings report (Payroll > Employee Payroll Maintenance > Earnings):
  1. EE Block Last (3rd or 5th)

Added Overwrite Amount Columns to Scheduled Deductions

Admins can now see which employees have an override applied to the scheduled deductions created via benefit plans.

The following columns can now be added to the Scheduled Deductions report (Payroll > Employee Payroll Maintenance > Deductions):
  1. Scheduled Deduction: EE Overwrite
  2. Scheduled Deduction: ER Overwrite

Pre-Check Report: Added Pay Period Profile Changes

If there are any account Pay Period Profile changes, this is now included in the Payroll Pre-Check Report.

Base Compensation

Audit Trail Information for Additional Compensation Added

When an employee's Additional Compensation widget is edited or new entries are added, this activity will now be reflected in an audit trail report, accessible within the My Reports area of the application. Proper security permissions will apply. Under the 'Audit Reports' section of the 'Reports' tab of the user's security profile, ensure 'Account Info' is checked. The report is located under: My Reports > System Reports > Audit Trail > Account Info.

This information will also be available under an employee's quick links within their employee profile. Select the 'Employee Utilities/Quick Links and Actions' icon in the header containing the employee name, then select the 'Account Audit Trail' link. This will take you to the same audit trail report.


HR Maintenance: Base Compensation History Report: 'As of Date' Added
An As of Date option has been added to the Base Compensation History report that allows you to see what employees were getting paid at that time. The filter is based on the Base Compensation 'Date From' field. The report is accessed under: HR > Reports > Employee Maintenance > Base Compensation History.



Time & Labor Management (TLM)

Timesheet

Duplicate Timesheet Action
When employees switch to a new pay period schedule, there are duplicate timesheets that need to be corrected, one from the old and one for the new pay period. Previously, correcting this required moving time entries and running of the pay calculation on every timesheet.

What's New: When moving time entries to a new timesheet, the user has the option to skip running pay calculation on the moved entries, which reduces the time required for the changes. Pay Calculation is run nightly or with a timesheet punch or save, so it is often not necessary to run it at the time of moving these entries. Actions, such as Move Documents and Delete Timesheets, have been moved into system jobs, reducing the amount of time they may require to be completed.


Scheduled Hours Display Over Midnight
When a scheduled shift crossed midnight, the schedule displayed on the Time Entry, Calc Detail, and Exceptions pages of the Timesheet, once for the day on which the schedule started and once again for the day the schedule ended. If the employee had the same schedule for both days, both shifts would show on the same day without a way to differentiate the two. With this enhancement, when a shift crosses midnight, the schedule now shows an indicator on the day it originated.


Pay Prep: Employees added to future payrolls do not auto pull into upcoming pay periods

Previously, when an employee was in a current payroll, and then added to a future payroll, when a upcoming pay period was created, the employee was not automatically pulled into the pay period. This has been fixed, and in this situation, employees are now automatically pulled into an upcoming pay period as expected.

Timesheets: AM/PM issues with manually added time entries

When supervisors added missing time entries to timesheets, the system sometimes changed AM to PM and AM to AM NEXT DAY. This has been fixed, and the system no longer automatically changes the AM/PM when manually adding time entries.



Scheduling

Advanced Scheduling

Multi-Schedule View
Additional Employee and Cost Center Filter options have been added to the Multi Schedule Overview. Use of the filters allows you to only display content and employees required. The same filter options are found in the Advanced Scheduler > Week View.

Upon selection of a shift, within the shift pop-up window, the following actions icons are available:
  1. Unassign Employee - removes employee from being assigned to the shift and becomes an open shift on the schedule.
  2. Manage Shift - opens Manage Shift pop-up for manager to make edits to the shift.
  3. Delete Shift - deletes shift completely from schedule.
  4. Notes - allows for notes to be added to the shift.
Once all changes are saved, the existing schedules reflect the new shift assignments and details, the updates are pushed to TLM for posted schedules, and Schedule Fairness policies are applied as needed.

Managers may also add shifts to employees. Using the Add Shift option within the Actions ellipse, the list of available schedules displays within the Add New Shift window. Once the Cost Center and Skill are defined, the Employee Field becomes available.

Request Details
The To De's received by managers from an open shift, shift swap, coverage, and fairness requests have not contained enough pertinent shift details. With this enhancement, these requests now contain fields for additional Cost Centers, Shift Premiums, Day Types, and Workday Breakdown.

Copy and Paste Time Off
There is now an easy way for managers to copy and paste time off periods on schedules so you do not have to request it on behalf of your employees outside of schedules. A Copy button is added to Time Off pop-up card in scheduling Day, Week, and Month Views. Click on the time off time slot and choose the Copy icon.

To Paste the time off to another employee or time slot, click on the schedule where the time off should be placed, current or future dates. A confirmation window displays to choose OK. Validation checks are in place to run timesheet rules to ensure balances are deducted. For example, if the rule requires that Vacation time is be used prior to Sick and Sick is copied, the time off pasted to a different employee automatically changes to Vacation if there is a balance.

The manager must have Time Off or All permissions for Time Entry Field Edit Access, as well as editing access for the employees he is copying from and the employee he is pasting the time off onto.

Managed Cost Center

Schedule vs Actual Report
The Schedule vs. Actual report was unable to be filtered to only display the managed cost centers for managers. With this enhancement, a new Security profile option within the Schedule > Views/Reports section for this report, Only for Managed Cost Centers, is available to limit the view of managers to just those within their managed cost centers.

Bug Fixes

Schedules: Schedule views inconsistent for terminated employees
Previously, when an employee was terminated, the Daily View only showed shifts prior to the termination date, not the shift on the termination date; the Weekly and Monthly Views included the shift that was assigned on that date. This has been fixed, and the Daily View now correctly shows the shifts prior to and including the termination date for an employee, as expected.

Workflows: Schedule not waiting for approval if Post Schedule is selected more than once
When a workflow required a user to approve the schedule before it posts, and a scheduler selected to post the schedule again (instead of "Approve"), the schedule went to "Posted" status and was visible to employees in their My Schedule page. This has been fixed, and the system will no longer post a schedule if a schedule approval workflow is still in progress.



HR

Forms Hub: Added Action Options to Custom Forms

From the Available forms tab in the Form Hub, when a user hovers their cursor over a custom form (under the Company forms category), a three-dot ellipsis action icon displays. When selected, the following options display:
  1. Preview: Select this option and a Form Preview pop-up window displays with a preview of the custom form.
  2. Assign: Select this option and an Add Custom Form pop-up window displays with a list of employees you can assign the custom form to.
  3. View Available: Select this option and the user is navigated to the Available tab on the Other Forms page (Team > HR > Forms > Other Forms).
  4. View Open: Select this option and the user is navigated to the Open tab on the Other Forms page.
  5. View Detail: Select this option and the user is navigated to the Detailed report view for the custom form, displaying valid custom form fields as columns within the report.

EEO-1 Form Updated

An updated EEO-1 form has been added to the system and contains updated expiration dates as well as updated current and prior reporting years.

Government Forms: Submit Buttons Updated

There were inconsistencies with the Submit button in several of the government forms where some were worded 'Submit Form,' 'Submit,' and 'Submit with the form name.' We have updated the following forms so they will all now show as 'Submit.'
  1. CC-305
  2. I9
  3. TFN Declaration

Auto-Populate Fields Added to Incidents

Previously, while creating an Incident in the system, a manager or administrator with limited group access was not able to select their name, or possibly other employees as the Initiator or Supervisor.

In this release, within the Comment section of an Incident, both the Initiator field and Supervisor field will be auto-populated once the Incident is created. These auto-populated fields will be able to be edited by selecting another user from the look-up list.

Bug Fixes

HR Actions: HR action screen message not wrapping text
When a Partner had a long screen message entered into one of their HR Actions, the text sometimes did not wrap. This has been fixed, and long screen messages in HR Actions now wrap text properly, as expected



Learning Management System (LMS)

Ready Learning - Preferred Name

Previously, an employee's 'Legal First Name,' as listed in Account Information in Ready, populated the 'Preferred First Name' field in Learning. Going forward, an employee's name listed in the 'First Name' field in Ready will populate the 'Preferred First Name' field in Learning.
