State Tax ID Application Process - Let Green Leaf Apply for You!

When hiring new employees in states you don't currently have employees working in, you must first obtain a Payroll State Tax ID in order to properly tax the employee as well as pay Employer Taxes to the correct agency. To check your Tax ID's on file within the system, navigate to Hamburger Menu > Settings > Payroll Set Up> Company Taxes.

In an effort to support rapid growth Companies, Green Leaf can apply for State Tax IDs on your behalf as an added service. If you'd like to have Green Leaf complete the Application process on the Company's behalf, please complete the Tax Application by clicking the green link below with all the data Green Leaf will need to complete the application.

There will be a charge of $250 per State Agency to apply for billed on the next payroll processing date. Upon receipt of the completed form, Green Leaf will start the application process and you will receive a ticket # for reference of the progress. Upon completion, depending on the state, you may receive physical copies of the new Tax ID and rates and will be required to load any documentation to the ticket in order to ensure your Green Leaf Elevated account is properly updated. The full process can take anywhere from 72 hours to 3-4 weeks depending on the agency process for completion.

If you'd like to apply for your Tax ID in-house, please find the State Agency and the Tax ID that is needed and follow the instructions from the Agency's website. All State Agency info is found HERE. After you have obtained the Tax ID proof directly from the agency please submit a Tax Ticket with all documentation the agency supplied. It is advised to apply for the Tax ID PRIOR to the employee starting work in order to ensure all agency data is received before taxes are due. If employees start receiving payment prior to the tax ID on file, they may be subject to penalties and fees from the agency. Please note, each state is unique and some will require multiple Tax IDs such as one for Withholding and one for Unemployment, and some require Locals as well. Be sure to follow the Articles to obtain all Tax IDs needed per state.

If you have any questions about the Tax Application Form or Service please reach out to your Payroll Specialist.
