Advanced Scheduling Troubleshooting Guide

Most Common Root Causes
Most Advanced Scheduling issues are caused by one of the following:
Missing Skill assignment
Missing Scheduled Cost Center assignment
Missing Scheduler Profile assignment
Missing Managed Scheduled Cost Center assignment (for managers)
Availability conflicts
Approved time-off conflicts
Schedules not being published
Scheduling Requirements
Employees must have the following assignments to participate in Advanced Scheduling:
Required Employee Assignments
Skill
Defines what the employee can do.
Employees may have multiple Skills assigned.
Scheduled Cost Center
Defines where the employee can work.
Employees may have multiple Scheduled Cost Centers assigned.
Scheduler Profile
Defines scheduling parameters, such as employment status (FT or PT) and scheduling limits.
Employees can only have one Scheduler Profile assigned.
Determines which locations a manager can create and manage schedules for.
Managers may have multiple Managed Scheduled Cost Centers assigned.

1. No Schedule Visibility for a Location I Manage
Problem
I can't view or create schedules for a location I'm responsible for managing.
Cause
The required scheduling access assignments are missing.
Solution
Verify that you have been assigned:
The appropriate Managed Scheduled Cost Center
The appropriate Security Profile
Both assignments are required for schedule visibility and can be reviewed on the Employee Information page.
If you're unsure which assignments you should have, contact your manager or system administrator.

2. Team Members Are Missing from the Schedule Roster
Problem
One or more employees do not appear on the schedule roster.
Cause
The employee may be missing one or more required scheduling assignments:

Scheduler Profile
Solution
Review the employee's assignments using either:

Advanced Scheduling Employee Audit
Navigation Path
Main Menu → Team → My Team → Employee Information → Advanced Scheduling Employee Audit
To update assignments:
Open the employee record.
Select the three-dot menu (...).
Select Employee Information.
Navigate to the Time Keeping & Scheduling tab.
Add or update the employee's Skills and Scheduled Cost Centers.
Assign the appropriate Scheduler Profile in the Profiles section.

3. Team Members Are Not Being Auto-Assigned Shifts
Problem
The scheduler is not automatically assigning an employee to an available shift.
Cause
The employee does not meet one or more scheduling requirements.
Solution
Select the shift.
Choose Assign Employee.
Open the Others tab.
Review the Violations column to identify the issue preventing assignment.
Common Violations
Problem
Employee does not have the required Skill.
Cause
The employee is missing the Skill associated with the selected shift.
Solution
Assign the required Skill through the employee's Employee Information page.
Problem
Employee exceeds daily or weekly scheduling limits.
Cause
The assigned shift would exceed the limits established by the employee's Scheduler Profile.
Solution
Verify the employee has the correct Scheduler Profile assigned.
Check whether the employee is already scheduled elsewhere during the same scheduling period.
Problem
Employee is unavailable during the shift.
Cause
The shift falls outside the employee's availability or conflicts with approved time off.
Solution
Review the employee's availability and any approved time-off requests. Update the records if necessary.
Helpful Tip
Employees listed under the Others tab can still be manually assigned to shifts.
The system may display a warning indicating that a scheduling rule is being violated. This warning does not prevent assignment; it simply alerts you to the exception.
4. No Employees Appear Under the Qualified Tab
Problem
No employees appear under the Qualified tab when attempting to assign a shift.
Cause
Employees do not meet the qualification requirements for the selected shift, or they're missing required scheduling assignments.
Solution
Open the Others tab.
Review the Violations column to identify why employees are not qualified.
Correct any missing Skills, Scheduled Cost Centers, or Scheduler Profile assignments.
If the employee does not appear under either the Qualified or Others tab, review the employee's information in the Advanced Scheduling Employee Audit.
Navigation Path
Main Menu → Team → My Team → Employee Information → Advanced Scheduling Employee Audit
Verify the employee has the correct:
Skill
Scheduled Cost Center
Scheduler Profile
Any missing assignments can be updated through the employee's Employee Information page.
5. No Shifts Appear in the Open Shifts Panel
Problem
The Open Shifts Panel is empty and no shifts are available for assignment.
Cause
Shifts have not been generated from the imported Workload Coverage.
Solution
Return to the Workload Coverage page.
Verify the correct Workload Template has been imported.
Select Generate Shifts for Open Coverage.
This action generates shifts from the imported workload coverage and populates the Open Shifts Panel, allowing you to begin assigning shifts to employees.
Additional Tips
Use the Advanced Scheduling Employee Audit as your first troubleshooting tool when employees are missing from schedules.
Review the Violations column whenever an employee does not appear under the Qualified tab.
Confirm employees have the correct Skill, Scheduled Cost Center, and Scheduler Profile assignments before troubleshooting other issues.
If employees cannot view their schedules, verify that the schedule has been published.
